Description/Purpose/Charge | The taskforce seeks to address the growing importance of AI in education by researching best practices, evaluating AI tools and platforms, and developing guidelines for ethical and responsible AI use. |
Reporting Relationships | CAIT reports to the Academic Senate. |
Decision-Making Authority | CAIT has the authority to: Propose policies to be adapted by the Academic Senate Provide sample syllabus statements regarding AI Select speakers/workshops to make campus and district presentations |
Membership Composition | CAIT is composed of faculty, staff, and administrators from various departments and divisions. Current member composition is: · Chair, faculty member · Seven full time faculty representatives · Three part time faculty representatives · Two classified staff representatives · Two management representatives · Two student representatives CAIT will also consult with various faculty and staff as needed. |
Terms of Membership | Two-year appointments, staggered between faculty and staff; three-term limit (total of six years of service). Members can be reappointed after one year off the taskforce. |
Membership Process | Members must be appointed by their representative associations. |
Meeting Dates/Times | Will be determined each semester. |
Meeting Procedures | CAIT meets remotely via Zoom. Meeting procedures proceed by consensus. |
Consensus Process, Decision-Making, and Documentation | Clear agreements and public indications of understanding and support are critical to maintain progress for CAIT’s work. On occasion, and after extensive dialogue, members will be asked to indicate their agreement to pursue a specific direction or to conclude discussion of a specific topic or action. This agreement will be based on “consensus,” which is a general state of agreement rather than a “majority opinion.” Consensus-based decision-making processes attempt to resolve each member’s concerns before asking for agreement and closing discussion regarding a recommendation. The consensus-taking process will follow these steps: 1. Any member or the chair may ask for an indication of agreement. 2. Members will indicate their degree of support for the selected recommendation as follows: A) agreement with the recommendation, B) support for the good of the whole without necessarily completely embracing the recommendation, or C) disagreement with the recommendation. A simple method for indicating degrees of support can be used such as “Thumbs Up” to signify agreement, “Thumbs to the Side” to indicate support for the good of the whole, and “Thumbs Down” to indicate disagreement. 3. If there is no opposition indicated, the agreement will be recorded within the meeting record/notes and discussion will conclude. To sustain the forward progress of the work of the group, it may be necessary to record participant agreement related to a specific item without full member consensus. If certain participants have persistent concerns that prevent them from agreeing to the item, then a majority opinion is recorded, and the minority opinion is also noted in the meeting record. |
Communication and Distribution of Materials | CAIT will maintain a Microsoft SharePoint for all relevant documentation and will use Cypress College email and Microsoft Teams chat for general communication. |
