Meeting ProceduresPrior to meetings, the facilitator sends out both a reminder and asks for agenda items.

Agendas are distributed at the requested meetings. Additionally, campus community members can bring information and topics for discussion to the Safety Committee Meetings.

Meeting notes are taken during the meeting and posted to the
committee’s website.
Consensus Process, Decision-Making, and DocumentationTo determine if consensus has been reached after an item has been presented and discussed, the facilitator uses the following method:
1.  A query is taken from each individual.
2.  If some members approve and others choose not to vote one
way or the other, indicating acceptance, consensus is achieved.
3.  If any member disapproves, consensus has not been achieved. In this case:
a.  Further discussion continues to try to reach consensus.
b.  Members are expected to make an effort to understand the issues and work towards consensus.
c.  Members are encouraged to provide comments and suggestions to facilitate consensus.
d.  Members are urged to express their opinions and viewpoints openly and honestly.
e.  Members can ask questions if the item is unclear.
4.  When there is contention, members will engage in constructive discussions to address concerns and disagreements, with the facilitator calling for consensus again after additional discussion.
a.  If consensus is achieved, the action item will move forward.
b.  If consensus is not reached after two attempts, the facilitator will consider the item’s time sensitivity and decide whether consensus can be reached.
c.  If the facilitator determines consensus cannot be reached,
they will present both the majority and minority positions.
Communication and Distribution of MaterialsThe Safety Committee will ensure the timely and accessible documentation of its activities and outputs, including essential discussion points and action items, and will distribute these documents to the committee’s website for easy access.
